Client Gallery Terms

These Client Gallery Terms apply to online galleries provided by Rappahannock Reflections, LLC, doing business as Rappahannock Reflections.
By viewing, accessing, downloading, purchasing, favoriting, sharing, or using a client gallery, you agree to these terms.

These terms work together with our Privacy Policy & Cookies, Terms of Sale, and Digital Image License.
You may also review Pixieset’s Terms of Service, Pixieset’s Privacy Policy, and Pixieset’s Cookie Policy for information about the platform used to host and support client galleries.
Gallery Access
Client galleries are private by default unless otherwise stated.
Galleries may be protected by passwords, email registration, download limits, store settings, or other access controls.
Gallery passwords and access settings may change at any time.

Approved Viewers
Gallery access is intended for the client, approved viewers, family members, guests, organization representatives, team members, event participants, or others approved by Rappahannock Reflections or the client agreement.
Some event, sports, school, team, business, or organization galleries may be shared with a larger group of approved viewers.
If a gallery is password-protected, the password should not be posted publicly.
Gallery Sharing
Clients may share gallery links with friends, family, guests, team members, or approved viewers unless otherwise restricted.
Rappahannock Reflections may limit downloads, orders, favorites, or gallery access to specific contacts or groups.
Sharing a gallery link or password may allow others to view the gallery. Clients are responsible for sharing access carefully.
Email Registration
Rappahannock Reflections may require email registration before a gallery can be viewed, downloaded from, favorited, or used.
Email registration may help manage gallery access, downloads, favorites, orders, customer support, and communication.
Downloads
Clients may receive free downloads, but free downloads are not guaranteed.
Free downloads may depend on the session, event, package, promotion, organization agreement, or separate written agreement.
Clients who have fully paid for a photography session do not need to purchase separate digital downloads for that session unless otherwise stated in a signed agreement.
Purchased or delivered downloads may be available in high-resolution, web-size, or other available resolution options through Pixieset.
Proofs, Previews, and Watermarks
Proofs and previews may be watermarked unless the session or order was prepaid before editing was complete.
Purchased digital downloads and final delivered images are provided without watermarks unless otherwise stated.
Clients and gallery viewers may not remove, crop out, cover, blur, erase, alter, or tamper with watermarks in any way.
Watermarks may only be removed by Rappahannock Reflections.
Screenshots
Screenshots are strictly prohibited when used to save, copy, bypass purchase, bypass download limits, bypass watermarking, or use images outside the proper gallery download process.
Viewing an image in a gallery does not give permission to screenshot, save, copy, edit, post, print, or use that image unless the proper license has been purchased or granted.
Gallery Store
Prints, products, digital downloads, and other store items may be available through the gallery store.
Products, pricing, taxes, shipping, delivery, and fulfillment are handled through Pixieset, its connected providers, and print lab partners.

Gallery Availability
Client galleries typically remain active for 90 days after final delivery unless otherwise stated in a signed agreement.
Rappahannock Reflections may remove, archive, expire, hide, or disable galleries after that period.
We may send expiration reminders, but clients are responsible for downloading and safely storing any purchased or delivered digital images before the gallery expires.
Extensions and Reactivation
Gallery extensions may be available on a case-by-case basis.
Reactivation fees may apply and may depend on the size, age, and availability of the gallery.
In some cases, it may not be possible to recover, reactivate, or recreate a gallery.

Backups and File Retention
Rappahannock Reflections keeps local backups for a minimum of 6 months after final delivery. Images may also remain available through Pixieset during that period.
After 6 months, files may be deleted from local storage, Pixieset, or both without further notice.
Image Hiding and Removal Requests
Clients may request that certain images be hidden from a gallery.
If the gallery includes a built-in option to request hiding images, clients may use that option. If the option is not available, requests can be sent to info@rapreflections.com.
Clients may request that a gallery be hidden or removed.
If a gallery is removed, hidden, expired, or archived, Rappahannock Reflections may not be able to recover or recreate it.
Who May Request Changes
Gallery changes may be requested by:
- The paying client
- A parent or legal guardian
- An authorized business representative
- An authorized school, team, organization, or event representative
- A pictured person, when appropriate
Rappahannock Reflections may request additional information before making gallery changes.
Unauthorized Use
Rappahannock Reflections is not responsible for unauthorized sharing, copying, screenshots, downloads, edits, posts, or misuse of images by gallery viewers.
